Registration and Device Scanning

We're excited to offer a mobile app for INBOUND this year! We also want to make sure you're aware of how the app uses data, which (like all things INBOUND) is governed by the INBOUND 2024 Event Registration Terms and Conditions and our Privacy Policy. We encourage you to read them in full; for your convenience, we've copied some of the relevant terms below.


Registration data

We may share your registration data with our vendors in order to provide event information and help improve your experience at INBOUND or future HubSpot events. For example, if we offer a mobile app, we might make your data available to the mobile app provider so it’s accessible through the app. We may also share your registration data with providers related to INBOUND, like HubSpot, our event platform and registration service providers, and other vendors who work with us to make sure INBOUND is a great experience for you. By providing your registration data to us, you grant us permission to do these things.

What we will not do is sell, rent, or give your registration data to third parties (because there’s nothing worse than going to an event then getting spammed by strangers for weeks). You have the option at registration to allow us to share your registration information (including your name and email) with INBOUND sponsors, and if you select this option, we’ll share your information with INBOUND sponsors so you can receive communications directly from them. You also may have the option of sharing your information (such as your avatar, name, company, and job title) directly with other attendees or sponsors through our event platform or other online communities. If you choose to share (or allow us to share) your information, you understand that we do not control how other attendees or sponsors use your information. The important point here is that you will have control over which information is shared with other attendees and/or sponsors, and you can choose whether or not to share your information. If you believe a sponsor or other attendee has collected your information without your consent, please inform us immediately.

Device scanning

Attendees will be provided with a SmartBadge™ powered by Klik Experiential for a seamless and unified event experience with just one tap. Wearable devices will use Bluetooth technology. Your wearable device may be actively or passively scanned as you enter certain sessions or when you access other areas and amenities at INBOUND. Among other things, this helps us to track and provide information on capacity, as well as make sure folks have the right access.
Our sponsors may have the option to scan your wearable device to retrieve the personal information that you provided at registration, including your name, company, and email address. If your data is collected by a sponsor—by scanning your wearable device or through any other means—it will be used and stored according to their privacy and data retention policies, which they should allow you to review before providing your data. You are never required to allow a sponsor to scan your wearable device and if you’re not comfortable with any of their policies, you shouldn’t provide them with your data.

Location data

We may collect information about your location and movement in the event area through the Klik wearable devices. We use this data to measure participant engagement, such as determining the number of people who were present in certain areas or sessions. We will use this information in compliance with our Privacy Policy.

If you choose to connect your INBOUND profile to your wearable device, you may be able to access certain functions such as exchanging contact information with other attendees or gathering additional content from places you have been to and activities you have attended. If you don’t want to pair your wearable to your profile, your location data will still be collected but it will remain anonymous by not carrying any of your personal data. 

Networking

By downloading the mobile app, you will automatically be added to the Community networking feature. Other attendees will be able to search the directory and initiate 1:1 messaging with you. You can remove yourself from the Community feature at any time from your personal device if you don't wish to be contacted.

Making connections onsite

Attendees will be provided with a SmartBadge™ powered by Klik Experiential for a seamless and unified event experience with just one tap. With badge-to-badge contact exchanges, focus on building connections and community with fellow attendees and peers while your badge collects all of the essential information — creating a digital business card of sorts. Your badge will be paired with your registration profile so you’re set for INBOUND success from the start. 

Simply hold your badges close together, click the button on the badge at the same time, and receive confirmation of the information exchange when both badges light up. This action will trigger a contact exchange card to appear in the Klik feature of the app. The Klik feature is where your badge-to-badge contact exchanges will appear as well as your session attendance cards. 

Run into a fellow attendee outside of the BCEC? You can still bump badges for contact exchanges. Their contact info may not populate in the app right away. However, upon returning to the BCEC, their contact info will come through after your badge has connected to one of the onsite beacons. 

You can also start a 1:1 Chat with a person you exchanged contact information with by clicking on the chat bubble icon in the lower right-hand corner of the contact card. You can revisit this page later and download a full list of your contact exchanges at any time.

All attendees will have the opportunity to opt-out of syncing their contact info to their badge at initial check-in/badge pickup. Please be aware, opting out may limit some of the badge-to-badge contact exchange functionality.

Exporting Klik Badge Connections

All contact information from badge-to-badge contact exchanges will be stored in the INBOUND app so you can keep the conversation going post-event. To export contacts, go to the Klik feature in your mobile app. In the last carousel slide at the top of the page, there’s a button called Export Contacts. Simply click that button, and you’ll be able to send a full list of contact details through any select application on your device. 

Performance metrics

We may share performance metrics such as page views, clicks, and impressions with INBOUND sponsors or vendors to measure the performance of our INBOUND mobile app, content, and advertising. We will use this information in compliance with our privacy policy.
